The Client area allows you to restrict access to the information that is in your Project Room so that only selected files can be viewed by a “Client†(i.e. a director, a producer or the advertising agency that is financing your commercial).
Photo files that you wish to be viewed by a Client are made visible in a Project Room’s Client space using the “Client: Add†function within Production Files, Locations, Art Department, Casting or Wardrobe pages respectively. When an individual logs in with a client username and password that you create for them, they will go to your Project Room but they will only see the files that you want to make visible to them.
Creating Client Access
Take the following steps to assign Client Room Users from within the Project Room.
1. From the Admin dropdown menu, select ‘User Manager’.
2. Click on ‘Create New User’.
3. Create a new username, password, and enter an email address. Each username must be unique. The system will not allow multiple users with the same login name, or existing users to apply their existing logins to access multiple project rooms. Slight variations will however be accepted – for example, append ‘vancouver’ or some variant of the job title to the login name to identify a relationship to the specific project room.
4. Choose whether this user will be a ‘Project Room Manager’ or ‘Project Room Client’. A manager will still have access to all the available Project files within the Project and Client rooms, excluding the Admin functions. The Client will only be able to see files that have been published to the Client area.
5. Click on ‘Create’.
6. To test Client access, logout of the Project room in the top right hand corner of the page and log back in using the client useer login.
Selecting items for Client Approval
The Client has access only to a selected group of Production files, Locations, Art Department, Wardrobe, and Casting collections. Clients do not have access to Admin and will not see any of the files or folders that you have not selected to show them. Here Clients can review the refined final selection files. For example, the best three or four images can be presented, instead of all fifteen original available options.
A Project Room Manager logged in to a Client Room sees a page very similar to the actual Project Room itself. All the Project Room files remain visible and available to transfer to the Client area. Images intended for the Client are marked with a red [C]. The Project Room Manager however cannot access Admin functions, and therefore cannot adjust logos or news text on the Homepage.
To send images to the Client Area from the Project Room:
1. Click the selection box in the lower right of a Locations File.

2. Click ‘Client: Add’
3. When the page refreshes, a red [C] will now appear in the Locations File thumbnail, indicating that it will be visible to Clients within the Client area.
4. Image files can be removed from the Client Area by selecting ‘Client: Remove’ when the File’s checkbox is marked.
5. Production files, Art Department, Casting and Wardrobe image files can be moved to the Client Area in the same way.
