Working within your Project Room
Your Project Room features the following functions (appearing in a toolbar tabs along the upper top of the page):

3. Locations - includes Project Room Locations as well as access to your regional Locations Library

a. Home
This is your Project Roomâs homepage and the first page any user who logs into the Project Room will see. You can make changes to this page using the Admin menu. Select the Profile/Logo feature from this menu to make changes to your homepage [*for more details, see the âAdminâ help entry].
b. Production Files
You can upload virtually any type of file into this section of the Project Room, such as zipped folders, documents, spreadsheets, photos, and video files.
To add files to the Production Files page click on Upload a New File, then âBrowseâ to select a file on your computer, then hit Upload Files. A pop-up window will display the uploadâs progress.
When complete he lower orange bar will be at 100% and the file will appear in the Production Files page, where production notes can be added.
To view production files, click on the file name and it will automatically be downloaded to your computerâs desktop.
The file may be assigned to the Client area by clicking âAdd to Client Approvalâ. A red [C] will appear next to files which are currently published to the Client area. These may also be removed by clicking Remove from Client Approval, or Delete.
This will be explained in greater detail at the end of this document under Using your Client Area
c. Locations
1. Adding photos
i. Uploading new Files
You can upload photo files directly into your Project Room from your computer or camera. Go to the Locations / Project Room Locations page, look to the far right center of your screen, and select the âNewâ tab. The first step requires that you enter key text information to create a detailed and searchable Location File where your images will be stored. The second step is to select the photos out of your computer to upload.
Adding Files from the Location Library
1.While logged in to your Project Room, click on Locations on the toolbar and select âLocation Libraryâ. From the Library section, you can copy files into the Project Room by checking the selection box underneath the Location ID: #. Then click on Add to Project Room+.
The selected photo files will now appear in the Project Room Locations library under the Locations to be Filed folder in the filing system on the left side of the page.
iii. Adding files from VisionScout
(ie. A Location Scout or Location Managerâs private VisionNet Location file database)
1. Logout of the Project Room and Log into your VisionScout site.
2. Search and select the files that you wished to be copied into your Project Room by clicking on the selection box in the bottom right hand corner of each Location file.
3. Scroll to the bottom of the page and click on âCopy to Project Roomâ.
4. A username and password for the Project Room will now appear below. Enter the requested information.
5. Your files will now be copied and will appear in the Project Room Locations in the âLocations to be Filedâ folder.
Creating and Managing Folders
1. Photo Organization
You have 2 options for setting the order of the images within a file folder.
1. Click the thumbnail image of a location file. Once you are inside the viewer, to set the order of the images simply drag and drop the photos within the filmstrip at the bottom of the page. The photo that you place in the first position (ie. Left hand side) will appear as the fileâs thumbnail cover photo.
2. Click on the thumbnail image file. In the image viewer, select âFull Page Editâ. Now you can more easily reset the sequence of your photos by holding down the arrow icon to drag and drop it into its new position. Images may also be deleted from the group by clicking on the [x] link.
3. If this folder is a copy of an original stored elsewhere (ie. A VisionScout site or the main Locations Library) deleting images in the Project Room will not affect the original photo file, which will remain intact in their original location. Thereby, images deleted from the Project Room may be recovered and replaced if necessary by selecting the [V] link underneath the location file thumbnail image. [V] stands for âview source locationâ and clicking on it will direct you to the original file. If the photo-file is not in the VisionConnect library, but is in someone's VisionScout account, you will receive an "access denied" message.
2. Folder Organization
You can organize your Location files in your Project Room by creating separate folders. In the Location page of your Project Room, create and name multiple folders for each scene or type of location. Click on âAdd a Folder +â on the left side of the Location page.
You will be asked to name the new folder you wish to create:
That folder name will now appear in the folders box, and will also be included in the dropdown menu connected to: âMove to:â at the top of the page.
When you add Location files to the Project Room from any one of VisionNetâs services, they will automatically be situated in the âLocations to be Filedâ area. To move them to an appropriate folder, click on the check box underneath the file ID and thumbnail photo on a Location file, and choose the relevant folder name from the âMove Toâ folder by clicking on the arrow to reveal the dropdown menu at the top of the page.
To re-order the files within a folder that you have created, use the arrow icon in the bottom left hand corner of a file to drag and drop it into the order you would like.
You can also set the order of the actual folders! Except for âLocations to be Filedâ folder, you can set the order of the folders you create by using the double sided arrow icon. Arrange the order of folders by dragging and dropping; click and hold on this icon to move individual folders around.
d. Art Department, Casting, Wardrobe
These pages allow your production team to share pictures and videos, within your Project Room, specifically organized for their departments.
Uploading and managing folders and files in all three of these department pages follows the same procedure as described above in the Location page section. The only difference is that there is no main Location Library to draw from for these departments, so reference photos and files must be directly uploaded into VisionProject.
Art Department, Casting and Wardrobe files intended for Clients work in the same way as in the Locations section of the Project Room. Simply check the box in the bottom right corner of the file thumbnail, then click on âClient / Addâ. A red [C] will now appear under the thumbnail image.

VisionProject
Project Rooms are password-protected websites where you can upload photos and a wide variety of information needed by the different departments of your production team such as Locations, Art Department, Casting and Wardrobe.
Instead of sending e-mails loaded up with attachments to share this information with your team, a Project Room gives you a single, secure workspace where you can store all that information in a single place and then give the right people access to view and comment upon that information over the web.
Project Rooms are rented by the month and may be renewed indefinitely.
